Online Learning Policy

This Online Learning Policy establishes the academic, technological, attendance, compliance, and identity verification standards applicable to students enrolled in online programs at BETA College of Business and Technology.

Purpose

This policy ensures:

  • Compliance with the Private Career Colleges Act, 2005.
  • Alignment with Ministry of Colleges, Universities, Research Excellence and Security (MCURES) expectations.
  • OSAP funding integrity and reporting accuracy (where applicable).
  • Protection of academic integrity.
  • Secure delivery of instruction through BETA Hive ERP-LMS.

Scope

This policy applies to:

  • All domestic and international students enrolled in online or blended programs.
  • All faculty and academic staff delivering online instruction.
  • All administrative departments involved in compliance monitoring.

Attendance & Academic Engagement Requirements

To maintain academic standing and funding eligibility (where applicable):

  • Minimum Engagement Standard: 80 instructional hours per 4-week period and a minimum of 20 hours per week.
  • Monitoring Tools: Login frequency and duration, module progress analytics, and assignment submissions.
  • Verification Logs: Assessment participation, live session participation logs, IP address verification records, and Face ID authentication logs.

Modes of Delivery

  • Synchronous Online Learning: Students must attend live scheduled virtual classes, keep their camera ON during instructional hours, and participate actively in discussions and assessments. Failure to maintain visible participation may impact attendance recording.
  • Asynchronous Online Learning: Students must log into BETA Hive regularly, complete coursework according to module deadlines, and demonstrate measurable academic engagement. Login activity alone does not constitute attendance.

Identity Verification & System Security

  • Students must complete Face ID verification when prompted. Electronic declarations and sign-offs are binding.
  • IP addresses are logged for compliance purposes. Simultaneous login on multiple devices and sharing credentials is strictly prohibited.
  • Violation may result in academic penalties, system suspension, disciplinary action up to expulsion, or reporting to funding authorities.

Automated Non-Attendance Thresholds

Communications are issued via official College email, registered personal email, and the BETA Hive notification system.

7 Days Attendance compliance warning
10 Days Formal written warning
14 Days (at program start) Withdrawal notification
28 Days (anytime) Two warnings followed by administrative withdrawal

Technology Requirements

  • Students are responsible for maintaining stable internet connectivity, a functional webcam and microphone, updated browsers, and access to official College email.
  • Technical difficulties must be reported immediately to solutions@mybeta.ca.
  • Unreported technical issues do not exempt attendance obligations.

OSAP & Funding Compliance

  • Students receiving OSAP or other funding must maintain full-time academic participation and meet attendance thresholds.
  • Students must monitor their OSAP account regularly and inform the College of any enrollment or status changes.
  • The College reports enrollment, attendance, and withdrawal status to the Ministry in accordance with regulatory requirements.

Privacy & Data Monitoring

  • Online activity may be subject to login tracking, IP monitoring, session recording (where disclosed), attendance analytics, and identity authentication logs.
  • All data handling complies with the College’s Privacy & Data Protection Policy.

Student Responsibilities

  • Maintaining accurate contact information and monitoring official communications daily.
  • Upholding academic integrity and conducting themselves professionally in virtual environments.
  • Informing the College of changes affecting enrollment or funding. Failure to monitor official communication does not exempt compliance.

Non-Compliance & Policy Acknowledgment

  • Non-compliance may result in academic warning, suspension of portal access, administrative withdrawal, or disciplinary action.
  • By continuing enrollment, accessing BETA Hive, attending online classes, or submitting coursework, students acknowledge that they have read, understood, and agreed to comply with this policy.
  • Continued participation constitutes binding acceptance of this policy.
