Before withdrawal and refund from your program, you are encouraged to explore the below options that may support your personal, academic, and career success.
By the Ministry of Colleges and Universities procedures, students must submit a formal written notification of withdrawal within ten business days of the beginning of a term to receive a refund of fees for the current time. The process to academically withdraw and submit this formal written notification is as follows:
I – STUDY PERMIT REFUSAL REFUND
- A full tuition fee refund (minus the CAD 500 administrative fee and the applicable Bank/financial institution(s) charges) will be granted if Immigration, Refugees, and Citizenship Canada (IRCC) does not issue the study permit or there is a denial. To obtain a full tuition fee refund, the student must submit the following documents within twenty (20) calendar days of the issue date of the original refusal letter from IRCC:
- A copy of the original letter of refusal received from IRCC;
- A copy of the official Beta College of Business and Technology letter of acceptance and a copy of the original receipt of tuition payment.
- A copy of the Bank Transfer copy of the Tuition fee deposit; and
- A fully completed and signed Refund Request Form from the applicant. Requests received from third parties will not be entertained.
- Refunds will only be issued if the student submits all of the above Thirty (30) days from the date of issue of the original refusal letter from IRCC,
- The final balance will be refunded to the student using the same payment method to the same, primary source or account where the Fee was initially received.
II – PARTIAL REFUND
Suppose a student withdraws before the commencement of the program as prescribed in the Beta College of Business and Technology official/Firm Letter of Acceptance. In that case, the paid tuition fee minus:
- The international student fee,
- Book Fee {please refer to the section of Book & Digital Textbook Fee(s)},
- CAD 500 administration charges, and
- Applicable bank/financial institution(s) charges
- The final balance will be refunded to the student using the same payment method to the same, primary source or account where the Fee was initially received.
- Requests must be completed personally at the Beta College of Business and Technology, Brampton campus. Refund requests cannot be entertained or processed via email. No exceptions.
The following documents are Mandatory to process the refund/withdrawal application:
- A copy of the official Beta College of Business and Technology Letter of Acceptance;
- A copy of the original/official receipt of tuition payment (the provisional receipts issued will not be entertained unless payment is received directly in the college’s bank account and the Accounts Department validates proof of Bank Transfer/ Bank TT Copy.)
- A copy of the Verified Bank Transfer copy of the Tuition fee deposit; and
- A completed and signed Refund Request Form from the applicant
Suppose a student withdraws on the day of or after the commencement of the program as prescribed in the official Beta College of Business and Technology Official/Firm letter of acceptance. In that case, the paid tuition fee minus
- The international student fee,
- Book Fee {please refer to the section of Book & Digital Textbook Fee(s)},
- CAD 500 administration charges,
- applicable Bank/financial institution(s) charges,
- the prorated tuition fee based on the number of instruction hours elapsed after the program start day,
- The final balance will be refunded to the student using the same payment method to the same, primary source or account where the Fee was initially received.
The following documents are required:
- A copy of the official Beta College of Business and Technology firm letter of acceptance;
- A copy of the original/official receipt of tuition payment (the provisional receipts issued will not be entertained unless payment is received directly in the college’s bank account and the Accounts Department validates proof of Bank Transfer/ Bank TT Copy.)
- A copy of the Verified Bank Transfer copy of the Tuition fee deposit; and
- A completed and signed Refund/Withdrawal Request Form from the applicant.
III. NO REFUND
There will be NO REFUND of the tuition fee in the following circumstances:
- If the student withdraws after 50% of course hours pass from the program’s commencement date as outlined in the official Beta College of Business and Technology acceptance letter.
- If the student violates Beta College of Business and Technology’s policies and procedures.
- The digital textbooks, lab, and software license fees are not refundable.
- If any false or fraudulent information was provided, including incorrect medical information or non-disclosure of medical conditions or prescribed medications, in the Student Application Form or fraudulent documents submitted to the college to seek admission to any course/Diploma program.
IV. Please bring the following MANDATORY DOCUMENTS with you to process any withdrawal and refund application(s):
- A Copy of your Beta College of Business and Technology Letter of Acceptance
- A copy of your Valid Study Permit
- A Copy of your Valid passport (photo page and address page, if any)
- Firm/Official Bank wire transfer receipt showing payment made to the college from your home country or local financial institutions.
- Valid Letter of Acceptance (LOA) from a DLI-recognized institution where the student has now enrolled.
- Valid Letter of Enrollment/ Attendance Record from a DLI-recognized institution where the student has enrolled.
- Valid Fee Paid Receipt from a DLI-recognized institution where the student is now enrolled.\
V. Please also note:
- An administration Fee of CAD 500.00, any other applicable fees/charges, and the Bank/financial institution(s) transfer charges (if any) will be deducted from each refund or withdrawal request.
- Even in case of transfer to another DLI-approved college/university, the fees paid will be refunded to the student using the same payment method to the same, primary source or account where the Fee was initially received.
- Beta College of Business and Technology shall not be held liable for losses or expenses due to Beta College of Business and Technology’s inability to provide education owing to labor disputes or other causes beyond its control.
- Conditional Offer Letter, Letter of Acceptance, and other documentation(s) Fees paid directly to the college are Non-Refundable.
- The college will not entertain or process any request(s) where any fees have been paid to the agents or consultants. Please get in touch with your agent or consultant for the same.
- Evidence that the student has deposited the Actual Fees with Beta College of Business and Technology in the form of Bank deposit, transfer, Advice, or TT copy must be produced to claim any withdrawals and refunds.
- The college requires original (for validation) and photocopies of these documents to process your withdrawal. The withdrawal or refund request will not be processed if you do not bring these items.
- All the documents submitted for withdrawal and refunds are subject to compulsory verification and pass through a validation process.
- It takes a minimum of 30 working days to initiate any transfer or refund from the date of successful refund/withdrawal application registered with the college.
- There may be further delay during the peak admissions period, as clearly mentioned on the Student Withdrawal/Refund Form.
- Incomplete applications will not be processed, resulting in considerable delay in processing the refund. Hence, please submit all the required documents to process the withdrawal and refund application.
TREATMENT OF BOOKS AND EQUIPMENT (HARD COPY)
In calculating a refund, a private career college may retain the retail cost of books or equipment that the private career college supplied to the student if the student:
- a) fails to return the books or equipment to the private career college within ten days of the student’s withdrawal or expulsion from the program or
- b) returns the books or equipment to the private career college within the 10-day period referred to in clause (a) but fails to return it unopened or in the same state it was in when supplied. O. Reg. 415/06, s.
TREATMENT OF DIGITAL TEXTBOOKS AND MATERIALS
Digital textbooks and other relevant study materials are issued on a one-time use and activation basis. Therefore, the digital (Book) fee cannot be returned or refunded.
DISCLAIMER FOR INTERNATIONAL STUDENT:
As an international student, to maintain your status in Canada, you must notify Immigration, Refugees, and Citizenship Canada (“IRCC”) regarding changes to your Study Permit, which was initially issued to study with Beta College of Business and Technology (“BCBT”), a Designated Learning Institution (“DLI”). Withdrawal from the program in which you were enrolled will fail to comply with the conditions of your study permit, as stipulated in Section 221 of the Immigration and Refugee Protection Regulations (“IRPR”). Hence, you will no longer be in compliance with Subsection 220.1(4) of IRPR.
In addition, the college will immediately report to IRCC that you are no longer enrolled in the program of study. Subsequently, IRCC has the right to cancel your study and work permits, even if they do not receive your physical documents. In other words, the permits you currently hold automatically become invalid within the period allowed by IRCC.
It would be best if you left Canada within the days IRCC allows, starting from your last day of classes, unless you enroll at a different institution and change your Designated Learning Institution (“DLI”). Also, be advised that if you are not pursuing further studies in Canada, you must return your study permit and work permit to Immigration, Refugees, and Citizenship Canada (“IRCC”) at the address below:

Additionally, it would be best if you ceased all work and/or studies. Suppose you continue to work from now on. In that case, it will be considered as working illegally in Canada, which could lead to your removal from Canada, deportation, and/or ban from entering Canada for up to five (5) years.
