Defining the standards and procedures for visual confirmation, active participation, and identity verification in all online, hybrid, and virtual program deliveries.

1. Purpose

The purpose of this policy is to define the standards and procedures for visual confirmation, active participation, and identity verification in all online, hybrid, and virtual program deliveries at Beta College of Business and Technology.

This policy ensures that both the Institution and students can see, hear, and communicate with each other in real time, confirming that each student is actively engaged in the learning process and meeting attendance and participation requirements.

2. Scope

This policy applies to all students enrolled in online, hybrid, or virtual programs and to instructors, academic staff, and administrators responsible for attendance verification, course delivery, and compliance monitoring.

It complements the Virtual Learning Policy, Attendance Tracking Policy, and Academic Standing Policy.

3. Definitions

  • 3.1 Visual Confirmation: The process by which the institution verifies a student’s physical and visual presence in a class by means of live video (camera on) and two-way audio communication.
  • 3.2 Active Participation: The demonstration of engagement in scheduled learning activities such as responding to questions, completing assignments, participating in group discussions, interacting in chat, or completing assessments through the Learning Management System (LMS).
  • 3.3 Learning Management System (LMS): The college’s Betahive, through which attendance, coursework, and evaluations are managed.
  • 3.4 Synchronous Learning: Live, real-time online instruction requiring immediate presence and interaction.
  • 3.5 Asynchronous Learning: Self-paced online learning without real-time instructor interaction.
  • 3.6 Attendance Tracking System (SSP/Betahive): The platform used to log student login, logout, and activity times.

4. Visual Confirmation Requirements (Synchronous)

  • 4.1 Mandatory Camera Use: Students must maintain a live, unobstructed video feed during the entirety of all synchronous online classes. The student’s face must be clearly visible. Avatars, still photos, or blank screens are not acceptable.
  • 4.2 Verification Checkpoints: Instructors will visually verify student presence at the beginning of class, at the end of class, immediately after any scheduled breaks, and at random intervals through direct interaction.
  • 4.3 Audio Communication: Students must possess a functional microphone and be prepared to speak and interact when called upon.

5. Technical Exemptions for Camera Use

  • Students are permitted to turn off their cameras due to technical or connectivity issues only twice during the entire duration of their program.
  • Each subsequent occurrence of the camera being turned off will be recorded as non-attendance for that session.
  • If the camera issue persists for more than three consecutive sessions, the student will be withdrawn from the program.
  • Exams and Evaluations: During all tests, exams, or evaluation activities, the camera must be on at all times. Failure to maintain visual confirmation during an evaluation will result in the attempt being recorded as a fail.

6. Active Participation Requirements

  • 6.1 Synchronous Engagement: Logging in without responding to instructor prompts or engaging in activities (e.g., discussions, polls) constitutes passive observation, which is not considered active participation and may result in an absence being recorded.
  • 6.2 Asynchronous Engagement: Active participation is measured through daily portal logins, progress through course modules, and completion of assignments or quizzes within set deadlines.
  • 6.3 80-Hour Minimum Requirement: Students must log a minimum of 80 hours of active participation every 4 weeks to maintain satisfactory attendance and remain in the program.

7. Identity Verification

  • Students must verify their identity using a valid photo ID (e.g., student ID, driver’s license, or passport) during program orientation, random institutional audits, and formal assessments or exams.
  • Any sharing of login credentials or instances where an unauthorized individual accesses the virtual class or LMS on behalf of the student will be treated as a severe academic offense.

8. In-Person and Hybrid Components

  • For classes with in-person or hybrid requirements, instructors will perform physical visual confirmation at the start and end of the session.
  • Attendance is tracked based on the actual time the student is physically present and participating in the classroom or lab environment.

9. Audits and Random Verification

  • 9.1 Random Visual Audits: Subject to random visual audits where students must enable their camera within one minute of request. Failure to appear or respond within the allotted time counts as a non-attendance event.
  • 9.2 Random Verification Interviews: The college conducts random interviews (via video or in person) to verify academic engagement. Students must demonstrate familiarity with their study materials, current location, and latest assessment within Betahive.
  • 9.3 Mid-Program Evaluation: Selected students may be required to attend an in-person evaluation meeting to review cumulative attendance, academic progress, and compliance with this policy.

10. Compliance and Consequences

Students who fail to maintain visual confirmation standards or active participation requirements may face:

  • Recorded absences or reduced attendance credit.
  • Written warnings.
  • Withdrawal from the program.

11. Institutional Responsibilities

  • Instructors must conduct and document attendance checks at required points during each class.
  • Campus staff verifies daily attendance logs and reviews flagged cases of visual non-compliance.

12. Student Responsibilities

  • Keep camera on and microphone functional during synchronous sessions.
  • Log in and out of SSP accurately each day.
  • Promptly respond to random identity verification or camera audits.
  • Attend random in-person attendance checks when notified.
  • Communicate technical issues immediately to the instructor or Campus Manager.
