Academic Standing Policy

This policy defines the academic standing requirements for students enrolled at the Beta College of Business and Technology (BCBT). Maintaining good academic standing is essential to ensuring students successfully complete their programs within the prescribed study period.

Student academic progress will be reviewed weekly to ensure students complete their courses as per the approved program schedule. This review will assess whether students have completed their courses within the designated timeframe, maintained participation in scheduled classes, made satisfactory progress towards program completion, and addressed any academic challenges or concerns affecting their performance. Students are expected to complete the coursework outlined in the program schedule for a given month within that month.

To maintain proper academic standing, students must complete all course requirements within the specified study period, maintain satisfactory academic progress as per the approved program schedule, successfully complete all assessments and coursework with a minimum passing grade, and adhere to attendance requirements as outlined by the college.

If a student does not meet academic standards, the following steps will be taken:

  1. First Warning Letter: If a student fails to complete the required monthly coursework as per the approved program plan, they will receive a written warning outlining concerns and expectations for improvement. This letter will be issued within a week of non-compliance and will include a minimum requirement for the work completed within the next week.
  2. Second Warning Letter: If there are no improvements in the student’s academic progress within a week of the first warning, and minimum requirements are not met, a second written warning will be issued. This letter will include an action plan specifying strategies to improve academic performance, such as additional study hours or support services. It will also outline concerns, expectations for completion deadlines, and the potential consequences of continued non-compliance. There is an expectation that the student will meet at least the first week’s minimum requirements by the end of the second week.
  3. Third Warning Letter (Final Warning): If no improvements are observed within a week of the second warning, the student will receive a final warning letter. This serves as a reminder of the action plan, ensuring that the student has at least one additional week to complete the required coursework. Suppose the student does not demonstrate measurable improvement within four weeks of the initial non-compliance or fails to meet the deadlines specified in the action plan. In that case, they will be withdrawn from the program due to poor academic standing.

Minimum Completion Requirements are based on the following criteria:

1. Students must allocate an additional 2 to 3 hours per day, dedicated explicitly to coursework in which they are behind. This requirement assumes that students will continue to complete assignments, quizzes, and regular study activities alongside their scheduled classes.

2. Students who are behind on final examinations must begin writing them as part of their catch-up efforts. Students must complete at least half of their outstanding final examinations during the intervention period. If the number of outstanding exams is an odd number, the minimum requirement is rounded down to the nearest whole number. The following applies:

  • If the student has 3 outstanding final exams, they must complete at least 1.
  • If the student has 4 final exams outstanding, they must complete at least 2 exams, and so on.

Students must focus on completing outstanding exams without reattempting previously completed modules or repeating modules during the intervention period.

3. For any courses where the student has exceeded the standard allocated study time, the student may focus solely on:

  • Completing any remaining final examinations, and/or
  • Completing the required number of study hours left for the course, without reattempting or repeating previously completed modules.
 

4. By the end of the intervention period (four weeks from initial non-compliance), a student must meet both of the following conditions to remain enrolled:

  • Have no more than four (4) outstanding final examinations; and
  • Have completed at least eighty-five percent (85%) of their program’s cumulative scheduled study hours, considering that student attendance is at least 80 hours per 28 consecutive days (4 weeks).

Failure to meet either of these conditions will result in the student being withdrawn from the program due to failure to meet academic standing requirements.

A student may be withdrawn from their program if they consistently fail to meet academic standing requirements despite interventions, are unable to catch up with the academic requirements within a reasonable timeframe or fail to comply with the conditions outlined in their action plan.
