Academic Standing Policy

The purpose of this policy is to ensure that all students maintain satisfactory academic progress throughout their program of study. It establishes clear expectations for course completion, participation, and assessment timelines to support consistent academic engagement and program completion within the prescribed duration.

This policy applies to all students enrolled in certificate and diploma programs delivered by the college, whether online, hybrid, or on campus. It also applies to academic and administrative staff responsible for monitoring student progress, assessment completion, and academic standing.

The college requires that students complete all courses, including assignments, quizzes, tests, final examinations, and other evaluation activities according to the approved program schedule that is provided at the time of enrolment. Academic standing is determined based on the student’s completion rate, participation, exam performance, and compliance with program timelines.

  1. Courses are activated according to the course schedule, regardless of whether the previous course has been completed or not.
  2. Once a course is activated, the student must complete all course activities, assignments, quizzes, tests, and the final exam as per the program schedule.
  3. Upon course activation, the college sends an email to the student with details about:
    • Course procedures and requirements.
    • Assignment and activity expectations.
    • Final exam date and time.
  4. The college sends a reminder email to the student approximately one week before the final exam of each course.

Students are responsible for ensuring timely completion of each course and its requirements. Students must plan their schedules accordingly and maintain regular contact with Learning Coaches, instructors and support staff to prevent falling behind in coursework or exams.

The college monitors student participation and academic activity daily to ensure compliance with course requirements and timelines. When a student falls behind, the following escalation steps apply:

  • One Exam Behind
      • The college sends a warning letter to the student via email
      • A follow-up phone call is placed to remind the student to complete the pending exam promptly.
  • Two Exams Behind
      • The college issues a second warning letter via email.
      • A phone call is conducted to assist and encourage completion.
  • Three Courses Behind
    • The student is withdrawn from the program due to unsatisfactory academic progress.
In exceptional circumstances, the student may receive a temporary extension to complete outstanding courses.
  • The student must complete all missed coursework, activities, and final exams within one week to ensure that they are no more than two exams behind at any time.
  • Extensions are granted only with documented communication, identifying specific completion dates approved by the Campus Manager.
  • Repeated delays or failure to complete outstanding work within the approved period result in withdrawal.
  • Participation in classes and online platforms is verified daily.
  • Warning notices and communication regarding academic delays are also issued on a daily basis when students are found behind schedule.
  • Students are expected to respond promptly to all communications regarding their academic standing.
Failure to meet the expectations outlined in this policy may result in one or more of the following:
  • Written warning letters
  • Withdrawal from the program for lack of academic progress
  • The withdrawal due to lack of academic progress will be reporting to the funder, including OSAP.
  • Students are responsible for completing all course requirements within the designated timeframe, monitoring their academic progress, and communicating proactively if challenges arise.
  • Instructors and Learning Coaches are responsible for monitoring student activity and identifying irregularities.
  • Campus Manager oversees compliance with this policy, ensuring proper documentation of communications, warnings, and interventions.

All academic progress reports, warnings, and communications will be recorded in the student’s file. Records are kept in accordance with the college’s data and privacy policies.
