Attendance and Absenteeism Policy

Consistent and timely attendance is vital for academic success. Classroom engagement is foundational to learning, and missed sessions reduce opportunities for instruction, discussion, and interaction. This policy also ensures compliance with funding or regulatory bodies that require precise record‑keeping of attendance.

This policy applies to all students at Beta College, whether attending on‑campus, online, or participating in off‑site placements/internships.

  • Students are accountable for their learning journey; attending all scheduled classes, labs, and placements is expected.
  • To remain in good standing, students must not exceed a 15% absence threshold over the full duration of their program.
  • Accumulating 28 calendar days of absence (whether continuous or fragmented) may also result in withdrawal from the program.
  • Breaches of the attendance policy may lead to academic probation or dismissal from the program.
  • Instructors will take attendance at the start, during breaks (if applicable), and at the session’s conclusion.
  • For in-person classes, attendance may be recorded via sign-in sheets or electronic check-in systems.
  • For remote or asynchronous formats, the institution’s learning platform or suitable digital tools will track participation.
  • Records must indicate how attendance was fulfilled (in-person, online, or hybrid).
  • Each course’s attendance expectations and repercussions for non-compliance must be detailed in the course outline.
  • Instructors will clearly inform students on the first day of class about attendance rules and how absences affect grading.
  • Instructors should monitor attendance trends and identify students at risk of missing classes.
  • Where concerns arise, instructors proactively reach out to offer guidance, resources, or referrals to support services.
  • Students who incur too many absences (exceeding 15% or exceeding 28 days) may be withdrawn from the program.
  • In specific programs (e.g. health or practicum-intensive streams), missing 5 consecutive class days without notice may trigger immediate removal.
  • Even with notification, 10 consecutive missed days may be grounds for withdrawal.
  • Exceeding absence thresholds may lead to forfeiture of eligibility for certain grants or scholarships.
  • The placement component is integral; students must attend all scheduled site visits or practical sessions.
  • In the event of missed placement time, students must notify supervisors in advance (if possible), provide documentation for absences, and arrange make‑up hours when feasible.
  • Absences longer than three days often require formal documentation (e.g. medical note) and approval from the placement coordinator.
  • Planned Absences: Students should inform the instructor in advance and seek approval where possible.
  • Unplanned Absences: Students must notify their instructors or the College as soon as possible via established channels (email, phone, portal).
  • Valid reasons include illness, emergencies, or uncontrollable circumstances.
  • After returning, students are responsible for catching up on missed work, and may request alternate assessment arrangements, subject to instructor discretion.
  • Late arrivals or early departures are recorded as missed class time unless exceptional circumstances are accepted.
  • All instances must be reported to the instructor or administrative office, who will log the lost time.
  • If a student misses an exam or assessment because of lateness, they may request a makeup session, subject to policy and instructor approval.
  • Students must notify both their instructor and the college administration of absences, lateness, or early departures.
  • The instructor is expected to explain the impact of absences, outline makeup options, and warn of potential course failure or withdrawal.
  • If accommodations are granted (e.g. deferred assessments), instructors and departments must ensure fairness and consistency across students.
  • For synchronous online classes, students may be required to have their camera enabled to confirm engagement, unless there are valid privacy or connectivity concerns.
  • Occasional checks may be conducted to confirm attendance and participation.
  • Beta College may update this policy periodically to remain aligned with regulatory, funding, or pedagogical standards.
  • In case of disputes, the version of this policy published in official college records shall prevail.
