Campus Closure Policy

The purpose of this Campus Closure Policy is to establish clear guidelines and procedures for the temporary or emergency closure of any campus or instructional site operated by BETA College of Business and Technology.
This policy ensures:
• Protection of student and staff safety
• Continuity of academic operations where possible
• Compliance with regulatory requirements, including applicable Ministry and OSAP guidelines
• Timely and transparent communication to all stakeholders

This policy applies to:
  • All physical campuses and administrative offices
  • All in-person instructional activities
  • Faculty, staff, students, contractors, and visitors
  • Both domestic and international students
This policy does not replace emergency evacuation procedures, which are governed by the College’s Health & Safety Policy.

Campus closures may occur under the following circumstances:
3.1 Emergency Closures
Unplanned closures due to events such as:

  • Severe weather conditions
  • Power outages or utility failures
  • Fire, flood, or structural damage
  • Public health emergencies
  • Government-mandated closures
  • Security threats
 
 

3.2 Planned Closures
Pre-scheduled closures such as:

  • Statutory holidays
  • Winter/seasonal breaks
  • Scheduled maintenance
  • Institutional events requiring facility closure

Planned closures are published in advance on the academic calendar and official website.

The authority to declare a campus closure rests with:

  • The President
  • Designated Senior Management
  • Campus Director (in urgent circumstances)

The decision will prioritize safety, regulatory compliance, and academic continuity.

In the event of a campus closure, the College will notify stakeholders through one or more of the following official channels:

  • College website announcement
  • Official college email
  • Student portal (BETA Hive) notification
  • SMS notification (where applicable)
  • Official social media accounts

Notifications will include:

  • Reason for closure (where appropriate)
  • Effective date and time
  • Expected duration (if known)
  • Instructions regarding classes, exams, or administrative services

Students are responsible for regularly monitoring their official email and the student portal for updates.

6.1 Transition to Online Delivery

Where feasible, in-person classes may transition to:

  • Synchronous online delivery
  • Asynchronous learning modules
  • Adjusted schedules

Faculty will communicate revised academic instructions through official channels.

6.2 Attendance & Compliance

  • Attendance requirements remain applicable during remote delivery.
  • Students must comply with online attendance and participation policies.
  • Failure to participate in scheduled remote learning may impact academic standing and OSAP eligibility.

6.3 Examinations

  • Exams may be rescheduled or conducted online where feasible.
  • Updated exam schedules will be formally communicated.

In the event of extended closure:

  • The College will comply with Ministry and OSAP reporting requirements.
  • Enrollment confirmations and academic activity records will reflect any approved delivery modifications.
  • Students must continue to meet participation requirements to maintain funding eligibility.

Unless otherwise directed:

  • Staff may be required to work remotely.
  • Faculty are expected to maintain instructional continuity where possible.
  • Administrative services may continue virtually.

Employees will receive specific direction from management.

The College will communicate:

  • Date and time of reopening
  • Any revised safety protocols
  • Adjusted academic schedules

Where required, reopening will follow public health and government directives.

The College is not responsible for:

  • Personal expenses incurred due to closure
  • Travel costs
  • Childcare arrangements
  • Indirect or consequential losses

Closures are implemented in good faith to protect the health, safety, and welfare of the College community.

Students are responsible for:

  • Maintaining up-to-date contact information
  • Monitoring official communication channels
  • Complying with temporary academic adjustments
  • Ensuring continued academic engagement during remote delivery

This policy will be reviewed annually or as required due to regulatory changes, operational requirements, or institutional growth.
